FEBS Advanced Course Committee will gather course participant feedback to check the quality/delivery of courses, and for this reason there is a built-in Satisfaction Survey for attendees in each website. To view a sample pdf with the survey questions, click here.
The survey is anonymous and reports from the survey will not identify any individuals.
The system is set up so that once attendees have submitted their survey they are able to download their Branded Certificate of Attendance; it is hoped that this will encourage the majority of attendees to submit the survey.
To activate the satisfaction survey:
1.- Set survey availability dates
On the Control Panel on the left-hand panel, go to Registrations >> Registrant Web Accounts >> Scroll Down and set both Survey Opening & Closing Dates >> Press Save (see screenshot)
2.- Mark registrants as checked-in*
On the Control Panel, go to Registrations >> Registrants Dashboard >> Press the "Check In" button for each registrant who actually came to the event to assign them a Check-In Date. If you happen to mark someone in error, you can double click to open the registrant profile and delete the check-in date to uncheck them.
These two actions will display a 'Satisfaction Survey' menu heading on relevant web accounts that will only appear during the given dates range, enabling registrants to submit it.
It is hence required that attendees have a check-in date. This is to preclude receiving feedback from registrants who do not actually come to the event.
*To save you having to check in registrants one by one on the registrant dashboard, you could send a list of all attendees with registrant IDs to support@effi-sciences.com and we will mark them all as checked in one bulk.
Notification
If you want to notify checked-in registrants about filling in the survey or remind those who haven't submitted it yet, You can create targeted messages using the appropriate filters ('Check-in,' 'Survey Submission,' or others as needed) in the notification section of the control panel.
Reports
Two reports related to the survey need to be submitted to FEBS after the course: the Satisfaction Survey Analytics (a pdf file) and the Evaluation Summary (an Excel file). In addition, you can generate the Participant Statistics report for FEBS from data in your registration system, by going to the Export section of the control panel, as explained below. Note that for FEBS reporting the end of the participant statistics form requires some manual additions.
To obtain the Satisfaction Survey Analytics
- Go to Survey >> Survey Analytics >> Press the green "Go" button
- Make sure you check that you have allowed pop-ups from febsevents.org on your browser
- A pdf with full analytics on submitted feedback surveys will then be generated.
To obtain the Evaluation Summary
- Go to Survey >> FEBS AC Evaluation Summary >> Press the green "Export" button
- Make sure you check that you have allowed pop-ups from febsevents.org on your browser
- A .zip file containing a file named FEBS_AC_reporting_form_Evaluation_Summary will then be generated. The data on this Excel file relates only to the Survey responders.
To obtain Participant Statistics
- Go to Exports >> FEBS AC reporting form Participant Statistics >> Press the green "Export" button
- Make sure you check that you have allowed pop-ups from febsevents.org on your browser
- A .zip file containing a file named FEBS_AC_reporting_form_Participant_Statistics will be generated.
This file can be used for AC reporting to FEBS taking into account that it will display information only from registrants who completed their registration details AND are marked as checked-in in the registrant dashboard.
To ensure YTF grantee data is pulled through to the Stats form, please also ensure you have marked those people who received a FEBS YTF award as "Bursary / Travel Award OK" in the registrant dashboard.
Blank report templates
If you are using a different registration system or survey (e.g., institutional system), you can download the Participant Statistics and the Evaluation Summary templates (to fill manually), as well as the survey questions, from the bottom of this FEBS website page: https://www.febs.org/events/advanced-courses/for-advanced-courses-organizers/
For Joint FEBS/EMBO Lecture Courses please refer to the FEBS Advanced Courses guidelines section on reporting.
